Our experienced staff invests significant time and effort into planning, purchasing, and organizing to ensure your event meets your expectations. To help us deliver a successful experience, please review the following policies and guidelines:
Food and Beverage Policy
University Dining Services is the sole provider of all food and beverage items on campus. Outside food or drinks are not permitted at any catered event. If you wish to request an exception, please refer to the Food Waiver link below for applications and guidelines.
Alcohol Service
University Catering holds the exclusive license to serve alcoholic beverages on campus. A minimum of two weeks’ notice is required for alcohol service. Valid photo ID is required for all guests. No outside alcohol is allowed on campus, and all bars must conclude within four hours and no later than 11:00 PM during the academic semester.
Event Reservations
Reserving a venue through the online reservation system does not guarantee catering services. Campus clients should confirm University Catering’s availability before finalizing their event booking. External clients booking through the Conference Planning Department are guaranteed catering services.
Event Planning Deadlines
- Menu Finalization: All event details, including the menu, must be confirmed at least 14 days before the event.
- Leftover Policy: Per state health regulations, leftover food may not be removed from the event site.
- Contracts & Payment: Signed contracts, estimated guest counts, and payment are due 10 business days before the event. Final guest counts are due three business days prior. You will be billed for the guaranteed number, regardless of actual attendance, and for any additional guests beyond that number.
- Payment: Full payment is expected three days prior to the event. University customers may provide a departmental account code; credit card payments can be arranged through your catering representative.
Rentals and Setup
University Catering offers linen rentals for guest seating, display tables, napkins, and more—for a daily fee. Complimentary table coverings are provided for all food and beverage displays.
Campus clients are responsible for arranging event logistics such as tables, chairs (except in the Commons Building), audio/visual equipment, and waste disposal through the online reservation system. For planning purposes, we recommend one 6-ft folding table for every three food or beverage items. Please coordinate with your catering representative regarding seating plans and overset options.
Décor Guidelines
University Catering does not supply decorations or centerpieces. Please note that balloons, glitter, confetti, and open-flame candles are prohibited at all events.
Outdoor Events
Health regulations require all food served outdoors to be covered by a tent or permanent structure. Tent rentals are available through our office. If you provide your own tent, it must be fully set up at least three hours before the event start time. A backup indoor location must be reserved for all outdoor events in case of inclement weather.
